Roles of The Elmdale School Council (ESC)

ESC is a group of dedicated parents, school staff and community members who act as an advisory body to the school Principal and the Ottawa Carleton District School Board.

The Elmdale School Council:

· Promotes communication among all members of the school community

· Supports fundraising and other initiatives to maximize educational opportunities and enhance school life for the students of Elmdale

· Coordinates the planning of events for the school which support students learning and fosters a spirit of community at Elmdale

· Promotes the school’s interests in the community

All Elmdale parents are welcome at ESC meetings. Meetings are the LAST Tuesday of the month (no meeting in December and March) in the school library. Free child minding is provided, registration is required Please join us to stay in the loop, meet other parents, and contribute to the Elmdale community. For information, please contact the chair at chair@elmdalecouncil.com.

 ESC committees include:

· Arts Committee (visual arts, music, dance and more)

· Healthy Earth Committee (school garden, educational initiatives, greening of Elmdale)

· Communications (with parents and broader community)

· Fundraising (including Bookfest, CTE sale, Funfair, Silent Auction)

· Parent Education (workshops for parents)

· Safe Travel Planning (healthy and active routes to school)

· Volunteer Coordination

 Election Information

Elmdale School Council Elections, copied from the constitution:

ARTICLE VI - COUNCIL MEMBERSHIP & ELECTIONS

Membership in the Council will be determined by the following election processes: 

1. Parent Members 

a)Council members must be elected/appointed within the first 30 days of the start of the school year.[1] 
b) It is the responsibility of the school Principal to ensure the date, time and location of the Council elections are advertised at least 14 calendar days prior to the elections. 
c) Parents shall be elected to Council through a nomination and voting process that is conducted at the first meeting of the school year. 
d) All parents of students enrolled in the school are invited to become involved in the elections by nominating themselves if they are interested, nominating another parent and/or by attending the election to vote on the nominated members. 
e) Each parent of a student enrolled in the school is entitled to one vote for each vacant position on the council. 
f) If there are more candidates than positions to fill, voting by secret ballot will occur. 
g) If the number of candidates is less than or equal to the number of positions, the candidate(s) shall be acclaimed. 
h) The Principal must ensure that the names of the elected-Council members are made known to the school community no later than 30 days following the Council elections. 

2. Parent Positions

i) All parent positions will be elected or acclaimed. 

ARTICLE VII -TERM OF MEMBERSHIP & VACANCIES 

1. The term of office for Council is a one year term until the effective date of the next Council's term of office. Elected members may seek additional terms of membership. 

2. The effective date for a member of Council to assume their duties is the date of the first meeting of the Council after elections. 

3. The Chair and Vice-Chair (or 2 Co-Chair) positions shall be limited to two consecutive terms (2 years in total). There is no restriction on the number of terms for other Council members. 

4. All vacancies can be filled by Council, with notice, either by election or by appointment. When a vacant spot on Council is filled, the new member's term shall expire at the time of the next election. 

5.Council members, who relinquish their duties during their term of office, may sit as Members at Large for the duration of the Council term of office. 

ARTICLE X - DECISION MAKING 

1. Council Meetings 

· Two parents of the same household may share one parent position so long as both names appear on the official nomination form, and they were elected to Council with the understanding that one vote will be shared between the two parents. In the event of a disagreement between the shared participants, they will officially be counted as abstaining in the vote count.
